How a Wedding Planner actually works: Inside Our Design Process
At I Do Box, our design process moves through four stages: discovery, concept design, sourcing and supplier collaboration, and on-the-day execution. Each stage builds on the last, so that by the time your wedding day arrives, every detail has already been considered, tested, and refined.
Step 1: The First Conversation
Every wedding starts with getting to know the couple. In our initial conversation, we're gathering as much as we can about who you are and what you love, your style references, venues you're drawn to, places you love travelling to, and what makes South Africa and Cape Town special to you personally. The more we learn at this stage, the more streamlined everything that follows becomes. This isn't a box-ticking exercise. It's the foundation the entire design is built on.
Step 2: From Mood Board to Concept
Once initial planning and vendor details are finalised, we move into a full decor proposal. This is where your story starts becoming visible. We take your feedback, your chosen venue, the season you're marrying in, and current seasonal trends, and translate all of it into a detailed look and feel for every area of your celebration, from ceremony to reception to the smaller moments in between.
Step 3: Sourcing and Supplier Collaboration
Choosing the right florist, stylist, or supplier for a wedding comes down to a combination of factors, your personal style, your overall look and feel, and the vision we've built together in the concept stage. We don't work from a fixed list. Every supplier we bring in is chosen because they're the right fit for that specific couple and that specific celebration.
Step 4: Bringing the Design to Life on the Day
On your wedding day, our team manages setup from start to finish and stays until the formalities are complete, often through to the start of the after party, depending on the couple and the venue's specific requirements. Our focus on the day is simple: making sure every detail we planned for months actually comes together exactly as intended, so you never have to think about it.
Why Our Supplier Relationships Matter
Years of working closely with the same trusted suppliers means we can call in favours when it counts, whether that's a supplier going the extra mile or pulling something together at short notice. One of our brides shared that we secured her favourite band less than a month before her wedding. Most of this happens quietly, behind the scenes, without couples ever knowing there was a challenge to solve in the first place. That's exactly how we like it.
More Than Just the Details
Some of the most meaningful parts of our process happen off the page entirely. We build real relationships with couples and their families, helping plan surprise bachelorette celebrations, or quietly adding small personal touches we know a couple will love. We've called a doctor to a venue the morning of a wedding when a groomsman fell ill. We've sat with brides through the very real wave of emotion that a wedding day can bring, simply being the calm, familiar person nearby when it's needed. And we manage family dynamics with care, so that everyone, on both sides, feels comfortable, included, and seen.
This is the part of wedding planning that's harder to put into a proposal, but it's often what couples remember most.
